Document scanning pricing depends on more than page count. Volume affects the pricing model — providers price per box, per image, or per project depending on scope. Document condition matters too: staples, folders, and fragile paper add prep time. Output requirements — searchable OCR, PDF/A archival compliance — and indexing depth (folder-level vs. full-text) also shift cost. Request a quote for pricing specific to your records.
We guarantee 100% accuracy on indexing and image quality. Every project includes multiple QA checkpoints—image verification, indexing audits, and sample reviews. If we make an error in indexing or miss a page, we fix it at no charge. Your data is only as good as its accuracy.
We walk through every key decision: What documents will be scanned? What's your timeline and budget? What regulatory compliance applies (HIPAA, PHMC, etc.)? How should files be indexed? What's your retention policy? What output format and delivery method? This upfront planning prevents surprises and ensures your project runs smoothly.
You have 24/7 access to your documents throughout the project. Need a specific file? We scan it immediately and deliver it digitally—usually within hours. Our detailed inventory tracking means we can locate any document in your collection quickly.
Yes. It is generally not necessary but can be done if needed.
Documents over 11x17 are separated during preparation and scanned on our Contex wide-format scanners. We handle engineering drawings, blueprints, and maps up to 42" wide with unlimited length. Output can be PDF, TIFF, or CAD-compatible formats.
Standard PDF is great for most uses. PDF/a (archival) is a self-contained format with embedded fonts—it can't be altered and will display identically forever. PDF/a is required for PHMC compliance and recommended for permanent records. We offer both PDF/a-1a (full accessibility) and PDF/a-1b (basic archival) formats.
You decide. We can return originals after scanning, store them temporarily, or securely destroy them with certificate of destruction.
It depends on volume and complexity. A 100,000-page project typically takes 4-6 weeks. High-volume projects (1M+ pages) may take 3-6 months. We provide detailed timelines in our project plan and offer expedited processing for urgent projects.
We use Kodak Alaris i5250 production scanners (150 ppm), Kofax Capture software (world's leading production scanning platform), Bookeye 5 V1A book scanners with auto curve correction for fragile materials, Contex wide-format scanners for engineering drawings, and NextScan FlexView with NextStar software (industry leaders in microfilm technology).
We deliver in any format: searchable PDF (most common), PDF/A (archival), TIFF, JPEG, or direct import to your ECM (Laserfiche, SharePoint, etc.). We can also provide files structured for your existing folder naming conventions.
We support all major compliance frameworks: HIPAA and JCAHO for healthcare, PHMC and State Archives requirements for government, FDA 21 CFR Part 11 for life sciences, and SOC 2 for financial services. We build compliance into every project from day one.
Our processes are designed for compliant environments: employee background checks, secure facility access, documented chain of custody, encrypted file transfer, and signed Business Associate Agreements. We can scan on-site at your facility if records cannot leave your premises.
Yes. Reynolds is headquartered in Emmaus, PA, in the heart of the Lehigh Valley, and scanning projects run for organizations throughout Allentown, Bethlehem, and Easton as well as the wider PA/NJ/DE/MD region. Pickup, on-site scanning, and secure transport are scheduled from our Lehigh Valley facility, with same-day response capability for local clients. Greater Philadelphia and other Mid-Atlantic locations are served on scheduled project routes. See our service area for coverage details.
Look for documented chain-of-custody procedures covering your records from pickup through delivery, a written accuracy guarantee, and compliance experience relevant to your industry — PHMC and DARM retention schedules for Pennsylvania government records, HIPAA for healthcare. A local facility, rather than an out-of-state processing center, and client references matter too. Reynolds has operated from Emmaus, PA for 55+ years and backs every project with a 100% accuracy guarantee.
Our team specializes in healthcare, government, and defense scanning projects with strict chain-of-custody and security requirements.

SantanderCompliance, scanning, and records-management guides from the Reynolds team.

Since June 30, 2024, the National Archives accepts permanent federal records only in digital form. The mandate binds federal agencies — but it sets the direction for every county and municipal records office that touches federal programs. Here is what it means for Pennsylvania.

What HIPAA-compliant medical records scanning actually requires, and how Pennsylvania health systems digitize legacy charts without a breach. Chain-of-custody, the Security Rule, and PA retention law explained.

Pennsylvania's Right-to-Know Law gives county and municipal offices five business days to respond. The bottleneck is rarely the law — it's record retrieval, staffing, and redaction. Here is the operational fix.
